Travel/Presentation Grants for Graduate Students
Purpose
The Graduate and Professional Doctoral Student Travel Support provides funding to support travel for major paper presentations, as well as for certain eligible exhibits and performances by classified graduate students and students in professional degree programs in pharmacy and dental medicine.
Students are encouraged to utilize thinkcheckattend.org to ensure that the planned conference is a legitimate professional offering.
Eligibility
To be eligible to apply for the travel grant program, students must meet the below criteria:
- Be SIUE classified graduate students, SIUE co-op PhD students, or students in professional degree programs in pharmacy and dental medicine (including dental post-graduate residents)
- Be in good academic standing (have a GPA of 3.0 or higher)
- Are making satisfactory progress toward their degrees
- Are enrolled at the time of travel or have graduated within one term of the conference/presentation date
- Are NOT receiving any reimbursement or compensation for the presentation, exhibition or performance
Students who are not enrolled at the time of the conference/presentation must submit the volunteer agreement form with the application.

Award Description
Travel/presentation grants will be provided by the Graduate School in support of major paper presentations at significant professional conferences and major juried exhibits and performances. A “major paper” is defined as
- One that is refereed by an external professional group or
- One that is invited as a result of recognition of the graduate student's professional status by an external group
The latter type of paper need not be refereed, since the invitation will serve as adequate evidence that the paper is a major piece of work. Graduate students who are involved in the arts may submit requests for travel support under this program in connection with juried exhibits or performances of their work.
- Travel within or outside the U.S. will be supported to a maximum of $750 from the Graduate School. Students are encouraged to discuss potential supplemental sources of support with their departments and units. Please also refer to the guidelines about Travel Outside the Continental U.S. for further guidelines. If you are traveling internationally, contact University Risk Management for travel and insurance information.
- Only one trip/presentation per graduate student per fiscal year is allowed.
- Reimbursement cannot be provided for expenditures made prior to approval of the application for funding.
- In the case of multiple authors on a paper, poster, or presentation, funding will be limited to support only one of the student authors. This is often the “first author” or “principal exhibitor” or “principal performer” status, who has been invited to present at a conference. (Proof of acceptance to be included with application.) Faculty members may accompany their graduate students and students in professional degree programs to present shared research and may apply for funding through the Faculty Travel program.
- Students traveling three nights or more must complete the Clery Act Sponsored Student Travel Lodging Form, available on the SIUE Police website.
Application Procedure
Requests for travel/presentation support under this program may be submitted to the Graduate School at any time during the year, and should be received at least 10 business days before your departure date. Application is made by submitting the online Graduate Student Travel Request Form found on the Graduate Student Forms website with all required supporting documents, detailed below. After completion by the student*, the form will be routed to the Faculty Advisor, Department Chair, and Dean's Office for review and approval.
*If a student has graduated and no longer has active SIUE credentials, then the faculty advisor will submit the form on the student's behalf.
Information/Documents Required:
- Graduate Student Travel Request Form (accessed on the Graduate Student Forms website)
- Projected budget for all costs associated with the travel/presentation
- An abstract of the paper accepted for presentation
- Documented proof showing clear indication of peer review or special invitation (file upload)
- Proof of acceptance to conference or exhibition and conference information (file upload)
- Liability Release Form (file upload - form accessed on the Graduate Student Forms website)
- ONLY if graduated at the time of travel/presentation: Volunteer Adult Waiver of Liability (file upload)
- ONLY if traveling internationally: Temporary Export License Exception Form (file upload - form accessed on Graduate Student Forms website)
Travel Outside the Continental U.S.
If international travel is approved, state funds provided cannot exceed what is typically needed for national travel (not greater than $2,000). Any cost beyond this may be from Foundation funds at the discretion of the School/College Dean, Graduate School Travel Program, ICR funds at the discretion of the School/College Dean, or is the responsibility of the traveler.
A Temporary Export License Exception Form (found on the Graduate Student Forms website) must be part of the application for Graduate School travel funding support for international travel. Laptops, PDAs/cell phones, digital storage devices, data and software are subject to federal export controls regardless of the reason for travel. Evaluation of Applications
Requests for travel/presentation support under this program will be evaluated after fully completed and approved applications are received by the Graduate School and funds for the program will be disbursed on a first come, first-served basis.
